How we turn a Facebook click into a loyal customer — the full Metanow playbook

The exact stack we built on ourselves, and now install for every Metanow CRM Managed and Growth client. Ads, landing page, form, CRM routing, 7-email nurture, discovery call, onboarding. Nothing hidden.

    Most marketing agencies show you a dashboard. Almost none show you the system that produced the numbers.

    That's the problem. When a small business owner asks "what will you actually do for me every month?" the honest answer is usually buried under jargon, screenshots of tools, and a rehearsed "kick-off deck."

    So we did the opposite. We built the growth engine we sell — on ourselves first — and we're publishing the whole playbook here.

    Not a demo. Not a case study with the numbers scrubbed. The actual, working stack that turns a stranger scrolling Facebook into a Metanow customer, then into a loyal one. Same one we now install for every client on our Managed and Growth plans.

    Here's what it looks like end to end.

    The whole thing, in one sentence

    Facebook ad → landing page → 6-field contact form → Odoo lead routing → 7-email nurture sequence → discovery call → onboarding.

    Six systems. One engine. Every piece measurable. Every step editable. Nothing that only lives in someone's head.

    That's the version we sell for €297/month (Managed) and €997/month (Growth). Below is what actually happens inside each step.

    Step 1 — The ads that bring people in

    Six creatives, two Meta formats, one campaign, one URL, one CTA.

    We built six ad concepts around six different angles — because you never know which hook wins until Meta's algorithm runs learning for three to five days. The angles:

    1. Pain-hook — "The CRM. Free." Big brick-red typography. Provokes curiosity.
    2. Managed positioning — "Your entire marketing. Managed." Grid of channel tags (SMS, WhatsApp, Email, Google Ads, Meta Ads).
    3. Comparison — split canvas, "€4,297 (Agency + HubSpot) vs €297 (Metanow)."
    4. Guarantee — "10 automations live by day 30. Or we skip your month-2 invoice."
    5. Ladder — three tier boxes with prices, featured "MOST POPULAR" badge on Managed.
    6. Results — "287 leads at €6.20 each." Big number, one number.

    Each creative shipped in Meta's two feed formats (1080×1080 square and 1080×1350 portrait). All six ads point to a single landing page: metanow.com/crm. Same URL, different UTM per creative — so we know which angle actually converts.

    The campaign runs as one ad set with a Traffic objective, optimised for Landing Page Views (not Link Clicks — LPV filters bounced clicks that never actually load the page). Meta learns for 3-5 days, then we kill anything above 1.5× the median cost per landing-page view and scale the winner in 20% budget increments every two days.

    CTA button on every ad: "Learn More." Never "Book Now" or "Sign Up." When the destination is a landing page, "Learn More" is the highest-CTR button in Meta's inventory.

    Step 2 — The landing page they arrive on

    metanow.com/crm is the single most edited page in our website. Every sentence earns its place.

    The positioning is deliberately upside-down from every other CRM company: the software is free at every tier. You pay for the team that runs it.

    • Software · €97/mo — the full HighLevel-based platform, you run it yourself.
    • Managed · €297/mo — we run your SMS, WhatsApp, email, follow-up and Google reviews.
    • Growth · €997/mo — we also manage your Google and Meta ads end-to-end.

    Below the tier ladder, the page walks through a two-phase engine — the same one we install for every client:

    Phase 1 · Set up (weeks 1–4). Platform live, channels connected (SMS, WhatsApp, email domain authenticated), ad accounts configured, ten core automations built. Day 30 or we skip the month-2 invoice.

    Phase 2 · Ongoing marketing (every month). Google + Meta bring in leads. The platform nurtures them into customers. The platform turns them into loyal ones. Two engines running in parallel, monthly on the clock.

    Below that: real reviews (1,185+ verified across six platforms, 4.9 average — Fiverr, Google, ProvenExpert, Trustpilot, TechBehemoths, LinkedIn), the client roster, an eight-question FAQ, and a single CTA that funnels everyone into the same next step: fill in the form.

    No page bloat. No "learn more" carousel. One page. One decision.

    Step 3 — The form that qualifies them

    We tested a longer form. Conversions tanked. We tested a shorter form (name + email only). Sales calls were unqualified and painful. Landed here on six fields, in this order:

    1. Name
    2. Business email
    3. Company name
    4. Which plan interests you? (radio — Software / Managed / Growth / Not sure)
    5. What's your biggest bottleneck right now? (dropdown of six — from "not enough leads" to "I need help running ads")
    6. Preferred call language (EN / DE / IT / SQ)

    That's it. No phone. No "how many employees." No "what's your budget."

    Why those six? Each one earns its place:

    • Tier self-select filters out tire-kickers and tells us who to route the call to. Someone picking €97 wants a different conversation than someone picking €997.
    • Bottleneck is what the salesperson opens the call with. Instead of "so, tell me about your business," it's "you said your biggest bottleneck is not following up fast enough — how many leads a month are you missing?" Every call starts on the problem, not the introduction.
    • Language matters. We run business in four languages across Europe. A German lead should never get a call in English by accident.

    We ask for phone after they submit, on the Calendly step — so a mistyped phone number doesn't block the form completion.

    Step 4 — What happens in Odoo the second they submit

    This is where most agencies drop the ball. A form gets submitted, an email lands in someone's inbox, and 6 hours later a human remembers to reply. By then the lead has forgotten they filled the form.

    We wired the whole handoff into Odoo. Here's the sequence, in the first 30 seconds:

    1. Form submits. Odoo creates a new lead in the CRM pipeline, stage: New.
    2. Tags applied automatically: tier:{{tier}}, bottleneck:{{bottleneck}}, language:{{language}}, source:crm_landing.
    3. Assignment rule fires: €97 leads route to our sales inbox; €297+ leads route to Gleni directly. Growth (€997) leads also fire a Slack alert so we can respond within minutes, not hours.
    4. Follow-up task created in Odoo with a deadline: "Reply within 4 business hours."
    5. Confirmation email fires to the lead (see Step 5).
    6. Meta Pixel + Google Analytics conversion events send back to the ad platform, so Meta's algorithm can optimise for form submits, not just page views.

    Every lead is now sitting inside Odoo with a full timeline: which ad they clicked, which UTM they arrived on, which tier they picked, which bottleneck they cited, which language they want, and every subsequent touchpoint. When Gleni calls them two days later, he opens Odoo and knows all of it before dialling.

    Step 5 — If they book the call: a short prep sequence

    Not everyone books immediately. Some do — on the thank-you page there's a Calendly-style scheduler filtered by tier and language, and roughly 30% of form submissions click through and book right there.

    For those, a 3-email prep sequence fires:

    1. Immediate — booking confirmation with calendar invite and video link.
    2. Day before the call — three prep questions ("what does 'growth' actually mean for you right now?"), plus one Loom-style overview of the platform. The lead walks in prepared.
    3. 1 hour before — a soft reminder: "Still on for 3pm? Reply YES."

    That last email seems obvious but no-shows drop by more than half when you send it. We reply-triage every "yes" manually.

    Step 6 — If they don't book: a 7-email nurture over 14 days

    This is the biggest lever in the whole system. Most leads don't book on the thank-you page. If we don't chase them, they disappear.

    Every email is signed by Gleni personally. Every email has a real reply-to that lands in his inbox — because replies convert 4× better than any other action.

    Email 3 has four variants — one per tier the lead picked (Software / Managed / Growth / Not sure). Someone who picked Software gets a case study about a solo founder running the platform themselves. Someone who picked Managed gets Ermal Mamaqi's testimonial ("Metanow built the whole growth engine — Meta lead generation, CRM integration, funnels…"). Someone who picked Growth gets the "287 leads at €6.20 each" real-client month. The email that arrives feels like it was written for that lead — because it was.

    Email 7 is the highest-reply email in the whole sequence — and by a lot. "Should I close your file?" gets ~12% reply rates from leads who ignored six previous emails. People who won't book will still tell you why they won't book.

    After email 7: the lead moves to the monthly newsletter list, gets added to a warm-retargeting audience on Meta and Google for 90 days, and we stop chasing. Respect matters more than one more email.

    Full sequence with copy is available for our Managed and Growth clients — we install it on their business as part of onboarding.

    Step 7 — The call, the close, and onboarding

    The discovery call is 15 minutes. Not 30. Not 60. Fifteen.

    Structure:

    • 5 min · Verify the pain. Confirm the bottleneck they wrote on the form. Ask one question deeper.
    • 5 min · Show the fit. Walk through what Phase 1 setup + Phase 2 monthly looks like for their specific situation.
    • 5 min · Ask for the yes. "Do you want us to start next Monday, or the Monday after?" — a two-option close, not "so, what do you think?"

    If they say yes, we send the proposal same day. A short PDF with the tier, the deliverables, the day-30 guarantee, and a Stripe link.

    If they close, onboarding kicks in the next Monday. Four weeks: platform live in week 1, sales pipeline mapped in week 2, remaining seven of ten core automations built by week 4. On day 30, the first monthly 5-section report lands on their desk. If any of it is missing, they don't get invoiced for month 2 — the guarantee we back in writing.

    Then Phase 2 starts. Every month. On the clock.

    What we learned building this

    Four things we didn't expect until we ran it on ourselves:

    1. The tier question on the form is the highest-leverage question in the entire funnel. More than the ad hook, more than the landing page copy. Two words on a form ("Which plan?") changes the entire downstream conversation — who gets the lead, what the email says, what the salesperson opens with.
    1. The break-up email out-converts every other email in the nurture sequence. By a factor of 2 to 3 on replies. People who ignored six emails will reply to a one-line "yes / no / later" ask. If you're only sending one nurture email, make it that one.
    1. Landing page views is a better ads optimisation event than link clicks. Meta and Google both bill you for clicks. But a click that never loads the page is dead money. Optimising for LPV cuts wasted spend by ~15-25% in every account we've tried it in.
    1. Real testimonials in the reviewer's original language beat translated ones — even if fewer people can read them. We tested it. Translated reviews felt like marketing copy. Original-language reviews (with a small "translated summary" note underneath) felt like proof. Trust is fragile.
