Off-the-shelf membership plugins assume a simple product: pick a plan, pay, unlock a folder. That works until the membership is the product — tiered access, curated libraries, drip schedules, branded member experience, and support that must not dump members into a generic WordPress admin.
When Richard Reid Enterprises needed to move their coaching and leadership membership out of WordPress and into a real client portal, the brief was not “another theme.” It was custom software for a workflow the standard system could not hold cleanly.
What the standard stack could not hold
Richard Reid serves executive coaching, leadership development, and workplace wellbeing. The public membership offer on richard-reid.com already showed the shape: starter access, a continuous coaching vault, and a full annual ecosystem — with resources organised around core growth themes.
The delivery problem was structural:
- WordPress as the membership home — workable for pages and payments, awkward for tier-based entitlement, member self-service, and a clean branded portal experience.
- A large resource library — on the order of 129 resources mapped across nine named themes, with drip and tier rules that a flat media library does not express.
- Three membership tiers — Base Camp, Ascent, and the full professional/annual level — each needing different access without admin workarounds.
- Member operations — profile and access changes via in-portal requests and ticket routing, not members editing themselves in the CMS.
That is the classic individuelle Softwareentwicklung moment: the business process is clear; the commodity plugin is the bottleneck.
What we built instead
Metanow implemented a fully branded membership area inside the Metanow Client Portal, served on a dedicated subdomain (members.richard-reid.com) with SSL, Neo Classic theming, and British English as the default member language.
The operating bar was practical:
- Authentication and entitlement — members see only what their tier allows.
- Structured content — the mapped library organised by theme, with consistent embed and download presentation.
- Member dashboard as home — navigation and workflows kept simple; no redundant screens.
- Self-service as requests — forms and notifications into defined routing, not unsupervised CMS edits.
- Payment for this phase — PayPal integrated into the portal flow.
None of that is “website polish.” It is softwareentwicklung agentur work: encode the real membership rules so administration shrinks and the member experience stays coherent.
Why this is custom software, not a plugin rebuild
Buy or configure when a membership SaaS already matches your tiers, library model, and branding. Build when the membership experience is part of how you compete — and when forcing it into WordPress roles and folders creates more exceptions than it removes.
For DACH and Italian buyers searching for individuelle softwareentwicklung, software su misura, or sviluppo software personalizzato, the useful question is the same: which workflow is the product? If the answer is “the member journey,” a portal built for that journey beats another layer of plugins.
How we approach this class of work
We scope the smallest portal that encodes real entitlements and content structure, ship it so the client can verify login, dashboard, and tier access early, and leave operations the team can run without us on every click. We push back when a theme change would be enough — and we build when the standard system cannot express the membership rules without daily workarounds.
Metanow builds custom software, client portals, and integrations for coaching, professional services, and growth-focused businesses across Albania, Germany, Italy, and Switzerland. If your members still live in a CMS that was never designed as a product surface, the first conversation is whether a dedicated portal is the right next system.
