The app launcher gives each team one entry point to modules such as CRM, sales, invoices, finance, projects, HR and payroll.
The client & summary
SEARTIN is a business management platform for construction, installation, electrical, plumbing and technical-services companies in Italy, commissioned by a technical-services company based in Milan. The core objective is one system that covers the full operational cycle, from offer generation through site management to invoicing, reporting and post-project analysis, on the web and on mobile.
The challenge
Companies in this sector run projects across offices, construction sites and technician vans, work with subcontractors and have to meet Italian documentation and fiscal requirements. The brief called for fifteen functional modules, four platform languages (Italian as the primary language, plus English, French and German), three user types (staff, external partners and clients) and a mobile app, all in one platform with strict separation of data and permissions. AI had to save time without taking decisions away from the people using it.
Our solution
Our team started work in May 2026 on a twelve-month plan that runs until April 2027, organised in four phases. Every module is split into a universal engine and a configuration layer for the construction and installation sector.
Foundation
The first phase covers the infrastructure and a universal entity model for clients, employees, suppliers, partners and contractors, multi-tenant authentication with role-based access for staff, partners and clients, the dashboard widget engine, projects and operations with phases, tasks and assignments, the drive, comments on every record and multi-language support.
Core business modules
The second phase adds finance with invoicing, payments, P&L and bank import with AI-assisted matching suggestions, HR with staff records, work plans, leave and certifications, sales and CRM with a pipeline, a warehouse with location-based stock and technician-van sub-inventories, document templates with PDF generation, AI invoice upload, real-time internal chat, a KPI builder and calendar sync with Google and Outlook.
Italian Pack and AI
The third phase brings the Italian Pack: FatturaPA-compatible XML generation and validation, transport documents (DDT), F24 reminders and a register of receipts (Registro dei Corrispettivi), with transmission handled through the API of a certified fiscal partner. It also brings the AI Concierge, the partner portal, project publishing for subcontractors, certificates with unique serial numbering and inspection checklists.
Customer portal and delivery
The fourth phase covers the customer portal, where clients see progress, invoices and certificates and open tickets, as well as the iOS and Android builds, load testing, user acceptance testing, documentation, video training and go-live.
Where the project stands
As of September 2026 the platform runs on a staging environment. Our team walks through each area manually, including finance, bank import with the AI Concierge, products and services and payroll documents, and documents every finding with screenshots before fixes are planned.
AI that suggests, people who decide
In the invoice upload module, AI reads PDF, Excel and image invoices and suggests the supplier, category, project and accounting account. Every suggestion shows a confidence score, and the user accepts, modifies or rejects it. Invoices the AI is not sure about stay "Uncategorised" for manual review. The AI Concierge follows the same rule: the AI proposes, a person confirms, and every action is logged in the audit trail.
Built around Italian practice
Payroll is calculated by the company's external accountant (commercialista). The platform reads the uploaded payslip PDF with OCR, pre-fills the employee record and asks the accountant to confirm each value. Certificates such as electrical conformity or photovoltaic certificates are generated as PDFs from project data, each with a unique serial number.
